Front of House

The Business Support function provides administrative support primarily to our Executive Team and supports the wider business.  
Reporting to the SVP Property, Facilities and Business Support and located in Dublin, the position of Front of House plays an important role within the Business Support function. The Front of House will assume responsibility for managing and co-ordinating on a wide range of Front of House matters within SMBC AC. The role provides opportunities to work with colleagues across the business. Your responsibilities within the Business Support team will depend on your level of experience and competencies and the requirements of the wider Business Support team from time to time.
 

The Business Support function reports to the Chief Operations and Sustainability Officer and together with Communications, ESG, Corporate Affairs, Strategic & Market Analysis, and The Nest (Innovation), forms Team COSO.

Core Responsibilities

Front of House

  • Operating reception – answering and transferring calls
  • Guest meeting and greeting
  • Post/Couriers
  • Management of room booking system
  • Arrange taxi bookings for employees and visitors

 

Catering

  • Work with our onsite caterers to manage all catering requirements for the Executive Floor
  • Oversee and monitor the ordering of supplies

 

Office Facilities

  • Ensure all security procedures are adhered to and liaise with building security re same
  • Oversee cleanliness standards within the Executive Floor/Reception, ensuring they are maintained to the highest standards
  • Regular office check for snags or faults – reporting all faults to Facilities
  • Pro-actively Monitor and order all stationary requirements for office
  • Management of all ad hoc parking requirements for office
  • Ensure cost efficiencies are made where possible

 

Administration

  • Assist with the scheduling, arrangement of, and set-up of internal and external meetings especially AV & conference calls
  • Provide assistance at conferences, off-site meetings and company events
  • Assist the SVP Property, Facilities and Business Support with the day-to-day management of the office
  • General administration and ad-hoc duties that may arise from time to time to support the Business Support team
     

Qualifications & Experience

  • 2-3 years’ experience in general office administration and reception in a fast-paced corporate environment
  • Strong, proven MS skills essential – particularly in Word, PowerPoint & Excel
